Festival Cup Reports • Directives 2009Chairman: Barb Thompson Please note: Chairman Ms. Thompson will accept only hard copies of the following reports (no e-mailed copies will be accepted).
New for 2009: All areas are required to provide Barb with the following:
New/Old: Remove the column that contains the number of letters for cups because our engraver does not require the number of letters for each cup plate. There is a set rate for each plate not related to the number of letters. Excluding removal of column with letters (see paragraph above), the column set-up will remain the same as previous years. Regardless of which software program you use, please place all columns as described and use a 10 or 12 point font size. Please, no small hard-to-read fonts. Please include only participants who have earned points in the Gold/Silver Cup program for this Festival year. Do not include students who did not pay the Gold Cup Fee, withdrew, or were disqualified. First column on the left is for Cups awarded for this Festival. Please use asterisks (see example):
Second column is for 2009 points. Third column indicates total points including the 2009 points. Please make sure your data files have all the corrections from prior years. The next column will be the entrant's name as it will appear on the nameplate. Please do not submit Thomas in 2006, Tommy in 2007, and Tom in 2008. If a student is receiving a Gold Cup this year, please make sure his/her name is spelled in the report as it will appear on the trophy plate. Middle initials and middle names are not allowed. The STATUS column is very important because it shows which students are new to the event or new to the Festival. Please fill this out correctly because it will verify whether or not a student is in the database. This information is used to to track transfers from out-of-state, transfers from in-state, and between teachers within the site. If a student has transferred from another state, Ms. Thompson needs documentation of all previously earned points, events, and classes from a State chairman or Festival site officer. A teacher’s recollections will not suffice. The event column may be abbreviated but be sure Vocal Solo is VSAS or VSMT. The teacher column may also be abbreviated if desired. For tracking purposes it is important to include a teacher’s last name on the Cup report. Please include the e-mail address and phone number of the person who has prepared the Festival Cup report. Include this contact information at the top or bottom of the report or on a separate page. This will help Ms. Thompson if questions or discrepancies arise. It is imperative that you include the name, full street address (no PO box number), and phone number of the person who will accept delivery of the Cups and the trophy plates. NOTE: there will be two separate deliveries. If you find any engraving errors, please notify Ms. Thompson immediately. All corrections must be filed BEFORE (NOT after) June 1, 2009. If you find damage to a Cup, the damage must be reported to National within 60 days. (Please see Festival cup plan sheet for definitions of damage.) After Ms. Thompson receives notification from the auditor that your reports are in good shape, she will process your/your site’s Cup order and engraving order.
