How do we want to communicate? Use of e-mail is effective, however phone calls are appreciated as questions can be answered immediately. Telephone and email information will be at the bottom of each mailing to you.

Discussion of Directives previously used

Directives need to be updated – only areas that require reminders should be added. The directives information is in the bulletin.

In the future, areas that need highlighting will be noted with a specific page cited in the bulletin. Add clarification as needed.

When there are areas in the bulletin that are unclear or incorrect, keep repeating in the correspondence the correct information.

How to report concerto and solo events that accumulate for a specific cup? Make a note on the report and explain it to the auditor. Consider implementing some type of coding; add an extra column to clarify what the student is participating in or if one is combining points. Asterisk by student’ name and clarify the record.

Junior Keynotes Magazine is important as it lists any changes for the festivals.

The 2004, 2005, 2006 bulletin is still available for purchase for new festival teachers.

Fees remain the same based on clubs decisions. Entrant progression requirements – all categories are different, so make sure to check your bulletin rules and directives.

Check your fees carefully as they are different for solo, duet and ensemble.

Adult participants in the 2006 festival were noted - Bassoon, Piano, Voice, Violin, Flute.

Adults need to be a member of a Senior Club, paying the Senior Club dues. They then can participate in the festival paying the festival registration fee. Clubs may determine the fee for an adult participant and it need not be the same as that of a junior entrant.

All dues need to be sent in to the national organization by December 1. Therefore, Nadine needs the dues by November 15. National would prefer to have the names of all the junior participants, but it is not required.

Theory examinations: let’s get more juniors involved, encourage your clubs to check it out! Getting theory information and practice tests must be requested through Cora. Consider getting packets as a club and review material. Consider holding a theory testing site event/center in April and May with the points being reported in the next festival year. Students can obtain a festival cups in this event.

Make sure to be clear (pg. 185) in festival bulletin about combining points – there needs to be some clarification – Cora will send out this clarification.

Whoever is doing the recording, make sure you have someone who loves to work with numbers – students can help.

If your site has been tagged – having recording difficulty – Cora will visit your site to help.

Transfer students: Teachers should make copies of the critiques in order to prove students’ participation. Parents should keep copies of critiques also. Festival sites can send in a list of transfer students to Susan Hoolihan to confirm correct records prior to the festival – make sure to notify your state festival chair and auditor that this has been done.

Insurance needs – each festival site must be insured. Make sure to notify Kathy Wilson with your information as she requests each summer.

A form will be included to notify Jeannene how many participant certificates are needed for each site.

Accuracy and reporting. Have another person check your results. ACCURACY.

Reports can be given to teachers to review prior to submission to the state.

Festival Site managers and Record Keepers will receive the directives.

When you are communicating about a form include number and name of form: Ex: JF22 (Report of All Participants). Copy your directives in a color to find it easier around home.

Send final reports to Cora – on e-mail or disk. Make sure each site keeps a hard copy of all reports.

2007 Festival Calendar: included in festival packets and will note all festival sites. Please be willing to let other students participate in your festival under special circumstances. Students are reported at the home site.

Do most sites do a make-up day? Not many do this, but some sites do this on an individual basis with firm rules - due to being gone or due to illness.

Audit process will stay the same.

The request was made to send one complete festival packet with all the directives in by October 15. This was approved and will be sent out as noted.

January 18th – 27th Susan will be on vacation.

We no longer need to include the number of characters for engraving the plates.

We cannot include middle initials – please do not change the name each year, be careful about nicknames.

Official form needed for transfers are for out of state students.

Make sure to put your name on the report so you can be contacted.

New plate engraving process: Cups go to Festival site – Plates will go to engraver in Minnesota. Engraved plates will go to local engraver and when completed sent to the club. This will create considerable cost savings.

Barbara Baldrica from Hibbing Musicale has agreed to get plates processed and mail them to festival sites.

Adults can be included in the report with juniors – just make sure they are noted as Adult.
